What is Inventory Management Software?

VyapRise moves stock every time you bill, buy, transfer or adjust, keeps a separate count for each warehouse, and warns you in the app when an item drops below its minimum level.

A count sheet per godown posts the differences after a physical count, and goods taken on sale or return stay in the supplier's consignment godown until they sell. Inventory in one warehouse, moved by every sale, is part of the Free plan; purchase bills, stock entries, stock counts, consignment, more godowns, numbered transfer notes, low stock to purchase order and the expiry cycle are in Pro, free for your first 7 days.

What the inventory module covers

The Free plan keeps stock in one warehouse for up to 30 items, moved by every sale, with reports for the current month. Purchase bills, stock entries and counts, consignment, more warehouses, transfers and the expiry cycle are part of Pro, with no limit on items or warehouses; each card says when it needs Pro.

  • Items and raw materials

Each item carries its SKU, barcode, HSN code, GST rate, sale, purchase and wholesale price, MRP, size, weight, minimum stock level and a photo. Group items into categories, and keep raw materials apart from the goods you sell.

  • Multiple warehouses

Add your shop, back godown and any other storage point as warehouses. Every item shows how much sits in each one, so the counter and the godown are never mixed up. More than one warehouse is part of Pro.

  • Stock transfers

Move goods from one warehouse to another with a transfer entry. The quantity leaves the first location and arrives in the second, and the total stays the same. Each transfer can print as a numbered TRN- note with the vehicle, as a PDF. Transfers need Pro, since they need a second warehouse.

  • Low-stock alerts

Set a minimum level on an item. When stock falls below it, the item appears on the Stock Alerts screen, in the low-stock report and in the notification bell inside the app. On Pro, the low items can be turned into purchase orders, grouped by the supplier you last bought from.

  • Physical stock count

Print a count sheet for a godown, count the shelves, and enter what you found. Posting the sheet corrects every difference at once, with each correction in the stock ledger. Part of Pro.

  • Consignment from suppliers

Receive goods on sale or return into the supplier's consignment godown: they are not your stock and raise no payable. An invoice uses your own stock first, then the consignment stock. At month end one purchase bill settles what sold and the rest goes back. Part of Pro.

  • Expiry cycle

With batch & expiry on Pro, the sale skips expired batches, the 8 am daily email lists stock expiring in 30 days, and the expiry report shows supplier and value. Return expired to supplier fills a purchase return, and the debit note keeps its claim status.

  • Weighted-average valuation

Stock is valued at weighted-average cost, recalculated as purchases come in at different rates. The figure feeds the stock reports and item-wise profit.

  • Stock reports

Stock summary, stock ledger, stock movement, stock by category, warehouse stock, low stock, item ledger, item profit, category profit and a rate card. On Free they show the current month; any period and PDF or CSV downloads are Pro.

How inventory management works in a small shop

Take a hardware shop in Ahmedabad with a counter on the main road and a godown two streets away. On the first day the owner imports the item list from an Excel export of the old software, then enters opening stock and a minimum level for each item. Say one item is a 1-inch steel hinge: 300 pieces in the godown, 60 at the counter, minimum level 50.

A contractor buys 40 hinges at the counter. The sales invoice is set to sell from the counter, so it takes 40 out of the counter, which now shows 20. Because 20 is below the minimum of 50, the hinge turns up on the Stock Alerts screen and in the bell. Someone moves 100 pieces across with a stock transfer: the godown goes from 300 to 200, the counter from 20 to 120, and the shop still owns 320 hinges in total. The numbered transfer note goes with the handcart as a PDF.

Next week a supplier delivers 150 hinges. The owner enters the purchase bill against the godown, and stock rises there. If the order went through a goods receipt note with a quality check instead, only the accepted quantity enters stock and the rejected pieces stay out, ready to go back on a purchase return.

Valuation follows the buying rate. If the shop held 100 hinges bought at ₹40 and then buys 50 more at ₹46, the stock is worth ₹4,000 + ₹2,300 = ₹6,300, and the weighted-average cost is ₹6,300 ÷ 150 = ₹42 a piece. When hinges are later sold at ₹60, the item profit report works out the margin against that ₹42, not against whichever rate was paid last.

Not every movement is a sale or a purchase. Five hinges get damaged in the godown: a stock out entry with a reason removes them. A count finds four more than the system shows: an adjustment puts the figure right. At month end the owner prints a count sheet for the godown, the staff count every shelf, and posting the sheet corrects all the differences in one go. Samples sent to a site go out on a stock-out too. Each of these appears in the stock ledger with its date, so you can trace any figure back to the entry that caused it.

If you carry batch numbers, on Pro you can type a batch on stock in, stock out, transfers, goods receipts and production entries. On Pro, batch & expiry dates go on the purchase bill and every sale takes the earliest-expiring batch, never an expired one, with an Expiring Stock report for what runs out next and a Return expired to supplier button that fills the purchase return; serial/IMEI numbers are recorded per piece; and size/colour variants each keep their own stock. On every plan, an item can have other units such as BOX = 12 PCS, with stock kept in pieces. For the bigger picture on keeping several storage points straight, read multi-godown stock management, and for the basics, what inventory management is.

  • Stock-outs take stock out of the warehouse you pick; sales invoices use the godown chosen on the invoice (and the consignment godown for a consignment item's shortfall), and POS bills use the terminal's warehouse.
  • Purchase bills, goods receipts, sale returns (when you choose to restock) and stock-ins bring it back in.
  • A delivery challan does not move stock on its own; the stock moves when the challan is converted into an invoice.
  • A manual stock-out will not let a warehouse go below zero. A sales invoice can, by design, so a sale is never blocked at the counter because an earlier purchase was not entered yet.

Getting started with inventory in VyapRise

  1. 01

    Create your warehouses

Add the shop, the godown and any other place you keep goods. One warehouse is enough if you have only one location; more than one is part of Pro.

  2. 02

    Bring in your items

Import the item list from an Excel or CSV export of your old software, mapping columns for price, HSN, GST rate and barcode. Or add items by hand. Opening stock is entered after the import.

  3. 03

    Set minimum levels

Give the items you cannot run out of a minimum stock level, so they show up in Stock Alerts before the shelf is empty.

  4. 04

    Bill and buy as usual

Sales invoices, purchase bills, returns and transfers move stock as you work. Open the stock summary at month end to see quantity and value per warehouse.

Is this inventory software right for your business?

A good fit if you

  • Run a shop, distributor or small factory with one to several godowns
  • Want stock to move from the bills you already make, not from a separate register
  • Need to know stock value at cost, not just quantity
  • Want a kirana store, hardware shop or distributor set-up, starting on the Free plan
  • Make goods and want raw materials and finished goods in one place (manufacturing is Pro)

Not a fit yet if you need

Expiry or low-stock alerts by SMS or WhatsApp: there are none. On Pro the 8 am daily email lists stock expiring in 30 days, the Expiring Stock report shows what expires next, and the sale picks the earliest unexpired batch on its own; low-stock alerts are in the app only. Batch & expiry dates, serial/IMEI tracking and variants are part of Pro; test them against your own trade during the trial.

Checklist: what to look for in inventory software for a small business

Whatever you choose, these are the questions worth asking before you move your stock into it.

  • Does stock move automatically from sales and purchase bills?
  • Can it keep separate stock for each godown, with transfers between them?
  • Can you enter opening stock and import your item list from Excel?
  • Does it value stock at cost, and which method does it use? VyapRise uses weighted average.
  • Does it warn you before an item runs out?
  • Can you correct damage and count differences with a traceable entry?
  • Can you post a physical count godown by godown, not item by item?
  • Does it read the barcodes already printed on your products?
  • Can you download stock reports for your CA, as PDF or CSV?
  • Does it handle expiry, serials or variants if your trade needs them?
  • Can staff use it under their own login? VyapRise Pro has a Store Keeper role and no per-user charge.

Common questions

Is the inventory management software free?

Yes, in one warehouse. Up to 30 items with opening stock, stock that moves with every sale, low-stock alerts and the stock reports for the current month are on the Free plan, which allows 10 sales invoices a month. Pro at ₹1,499 per year removes those limits and adds purchase bills, stock in and out, adjustments, count sheets, supplier consignment, more warehouses with transfers, barcode labels, batch & expiry dates, serial/IMEI, variants, POS, manufacturing and full accounting reports. Every new company gets a 7-day Pro trial.

Can I manage stock in more than one godown?

Yes, on Pro. Create each godown or shop as a warehouse. Stock is kept per warehouse, purchases and stock entries ask which warehouse to use, each sales invoice takes stock from the godown you choose on it, and a stock transfer moves goods from one to another. There is no limit on the number of warehouses on Pro; the Free plan keeps stock in one.

Can I keep supplier stock on sale or return?

Yes, on Pro. Receive the goods into that supplier's consignment godown: they are not counted as your stock and raise no payable. Sell as usual; an invoice uses your own stock first, then the consignment stock. At month end, one purchase bill covers what sold and the rest goes back to the supplier. Goods you leave with your own dealers on sale or return are handled too, on Pro: they go out on a numbered delivery challan into the dealer's godown and stay your stock until you invoice what the dealer sold.

How does the stock management software for a shop alert me about low stock?

You set a minimum stock level on each item. When stock falls below it, the item shows on the Stock Alerts screen, in the low-stock report and in the notification bell when you log in. Alerts are in the app only; VyapRise does not send email or SMS for them.

How is closing stock valued?

At weighted-average cost. If you hold 100 pieces bought at ₹40 and buy 50 more at ₹46, the average becomes ₹42 a piece. The stock summary shows quantity and value, and the item profit report uses the same cost.

Does VyapRise track batch numbers and expiry dates?

Yes, on Pro: enter the batch number, MFG and expiry dates on the purchase bill, and each sale takes the earliest-expiring batch unless you choose another; expired batches are marked and never picked. The Expiring Stock report lists batches expiring within the days you choose, with supplier and value, and the 8 am daily email lists stock expiring in 30 days. There are no SMS or WhatsApp alerts. On Pro you can also type a batch number on stock in and stock out entries.

Can I import my items and opening stock from my old software?

Items, yes, from an Excel or CSV export. VyapRise reads .csv, .xlsx and .xls files up to 10 MB, lets you map the columns, shows a preview and gives you an error file for rows it could not read. The item import has no opening-stock or minimum-stock column, so enter those on the item or with a stock-in afterwards; a materials import can carry a reorder level. Full invoice history is not imported; open (unpaid) customer invoices can come in as opening bills, without moving stock again.

Is this inventory software in India suitable for manufacturers?

Raw materials and finished goods can be items on the Free plan, in one warehouse. Buying raw materials on a purchase bill, bills of materials, production orders that issue materials and add finished goods to stock, job cards and quality checks are part of Pro.
