For small factories and workshops

Manufacturing Software for Small Business, With GST Billing

A small factory runs on three registers: what raw material came in, what went onto the machines, and what came off them good.

  • Multi-level bill of materials with wastage and stages
  • Production orders that check and issue material
  • Job cards with good, rejected and scrap quantities
  • Batch costing: material, labour, machine hours, overhead
A VyapRise production order at a demo plastics factory: 600 buckets in progress with 260 made, the stages from injection moulding to packing, and each material's planned, issued and in-stock quantity.

What is Manufacturing Software?

VyapRise is manufacturing software for small business that keeps all three in the same system as your GST billing.

Write the bill of materials once, plan production from your sale orders, issue material against a production order, log each shift or stage on a job card, record quality checks, send work out to job workers, and see the standard cost of each unit with labour, machine hours and overhead next to what the run actually used. Manufacturing is part of Pro at ₹1,499 per year; every new company can try it free for 7 days.

Production management software a small business can run

No consultants and no six-month rollout. These six pieces cover the path from raw material to finished goods.

  • Multi-level bill of materials

List the raw materials and quantity that go into one unit, with a wastage percent on each line. A BOM can use semi-finished items made from their own BOM, and split the work into stages. Keep versions with an effective date when the recipe changes.

    BOM format guide
  • Plans from sale orders

VyapRise reads your open sale orders and works out what to make and what to buy, then drafts the production plans and purchase orders for you to check. A production order explodes the BOM and checks the material against stock before you start. Quantities can be decimal, so you can produce in kg or litres.

  • Job cards and quality checks

Open a job card for a machine, operator and shift, or one per stage, with work in progress shown at each stage. Record good, rejected and scrap quantities, then checked, passed and rejected units with reasons. The machines master is on the Free plan.

  • Job work with ITC-04

Send material to a job worker on a job work challan into their own godown, and record what comes back as returned, processed or scrap. VyapRise watches the one-year and three-year return deadlines and prepares the ITC-04 CSV.

  • Raw material purchase cycle

Purchase requisition, approval, purchase order, GRN with QC, then the supplier's bill. Raw materials are stock items with their own minimum levels and godowns. The purchase cycle, purchase bills included, is part of Pro.

    Purchase orders
  • Standard cost and margin

On the BOM, add the batch size, labour, machine hours at a rate and an overhead percent. VyapRise gives a standard cost per unit and the margin at your selling price. After a run, the cost sheet shows planned against actual material, and scrap and by-products go into stock at a value.

A production run in a small plastics factory

A small injection-moulding unit making 16-litre buckets. The numbers are simple so you can follow every step.

The bill of materials. One bucket takes 0.45 kg of PP granules, 0.02 kg of colour masterbatch and one steel handle. You enter that once as the bucket's BOM. Granules are raw-material items with the unit KGS; handles are PCS. At current stock cost of ₹110 a kg for granules, ₹300 a kg for masterbatch and ₹4 a handle, a bucket should cost ₹49.50 + ₹6 + ₹4 = ₹59.50 in material.

The standard cost. On the same BOM you set a batch of 1,000 buckets with ₹3,000 of labour, 16 machine hours at ₹250 an hour and a 10% overhead. VyapRise adds it up: ₹59,500 material + ₹3,000 labour + ₹4,000 machine = ₹66,500, plus ₹6,650 overhead, or ₹73.15 a bucket. At your selling price of ₹90 before GST, the margin is ₹16.85 a bucket.

The plan. A distributor has ordered 1,000 buckets for next week, and the order is in VyapRise as a sale order. The planning screen reads the open sale orders, shows 1,000 buckets to make and the granules to buy, and drafts the production plan and a purchase order. You check the plan, set a high priority and approve it, then raise a production order and pick the machine.

The material check. The production order explodes the BOM: 450 kg of granules, 20 kg of masterbatch, 1,000 handles. The availability check shows granules short: only 400 kg in the raw-material godown. Everything else is there.

Buying the shortfall. The store takes the drafted purchase order up from the 50 kg short to a 200 kg lot and sends it to your supplier; if you work with requisitions, it goes through approval first. When the bags arrive, the storekeeper makes a GRN into the raw-material godown, notes the batch, and marks quality passed. The accountant books the supplier's bill with its GST. Granule stock is now 600 kg. You can try the free purchase order generator to see the PO format.

Issuing and running. You issue material from the production order. The operator on machine 2 runs the day shift on a job card. At the end of the shift he records 960 good buckets, 40 rejected for short shots, and 6 kg of scrap runners. Start-up purging used more granules than the BOM said: 462 kg in total was issued instead of 450.

Quality check. The QC person checks the 960 good buckets and records 952 passed and 8 rejected for warped rims, with the reason noted against the order.

Completion and cost. You complete the order for 952 buckets and they go into the finished-goods godown. The 6 kg of runners go into stock as regrind at ₹40 a kg, and that ₹240 comes off the run's cost. Actual material is ₹50,820 for granules, ₹6,000 for masterbatch and ₹4,000 for handles, or ₹60,820; less the ₹240 of regrind, ₹60,580. Over 952 buckets that is about ₹63.63 each in material, against ₹59.50 planned. The cost sheet's variance on granules tells you where the ₹4.13 went: rejects and start-up loss.

Billing the distributor. The 952 buckets are in stock like any other item. You raise the GST invoice from the sale order, and the finished goods leave stock. The invoice sells from the finished-goods godown you pick on it, so the buckets leave from where they are stored. The same system that made them bills them, so stock, sales and the books agree without re-entry.

  • Finished goods enter stock at the material actually issued, less the value of scrap and by-products. Labour, machine hours and overhead give the standard cost and margin on the BOM.
  • A product made in stages (moulding, printing, packing) gets one job card per stage, and work in progress shows at each stage.
  • Goods sent to a job worker stay in your books in the job worker's godown until they come back, and the ITC-04 file is prepared from those challans.

Setting up production in VyapRise

Start with one product and one machine. Add the rest once the first run balances.

  1. 01

Add raw materials and finished products

Import materials and products from Excel or CSV with their units, HSN, GST rates and costs, then enter opening stock. Put raw materials and finished goods in their own godowns if you keep them apart.

  2. 02

    Write the bill of materials

For each product, list the materials per unit and a wastage percent, then the batch size, labour, machine hours and overhead. Start with your best seller.

  3. 03

    Add machines and staff

Enter your machines in the machines master and give the storekeeper, factory manager and accountant their own logins. Users are unlimited on Pro.

  4. 04

Run one production order end to end

Plan, check material, issue, record the job card, check quality and complete. Compare the cost sheet and the standard cost with what you expected, then roll out to the other products.

Is VyapRise the right manufacturing software for your small business?

A good fit if you

  • Make products from a known recipe of raw materials: plastics, packaging, food processing, chemicals, fabrication, garments and similar
  • Want production, stock, purchase and GST billing in one system instead of a register plus billing software
  • Need a standard cost per unit with labour and overhead, and the material variance on each run
  • Run a few machines, shifts or stages, or send work to job workers and need the ITC-04 file
  • Prefer a flat ₹1,499 per year with no per-user fee over a large ERP project. Compare with our Tally alternative page

Not a fit yet if you

Want labour and overhead booked into stock value run by run: finished goods enter stock at the material actually used, and labour, machine hours and overhead are standard figures on the BOM. There is no weighing-scale integration. VyapRise does not generate e-way bill numbers or e-invoices; it prepares the e-way bill bulk-upload file (Pro) for you to upload on the portal. It runs in the browser and needs the internet; there is no offline or desktop app. Each GSTIN is its own company with its own data and plan; one login can switch between them, but there are no combined reports across companies.

Checklist for production management software for a small business

Run one real order through a trial and check each of these.

  • The BOM for your main product fits, including wastage, semi-finished inputs and stages
  • The standard cost and margin with your labour, machine hours and overhead look right
  • Planning from a sale order shows what to make and what to buy
  • The production order shows a material shortage before you start
  • Material issue reduces raw-material stock in the right godown
  • Job cards record good, rejected and scrap per shift or stage
  • Quality checks keep the rejection reasons
  • Finished goods enter stock at material cost, less the value of scrap and by-products
  • A job work challan and its receipt show up in the ITC-04 file
  • Raw material purchase runs from requisition to GRN to bill, see inventory management
  • Finished goods can be billed with GST from the same stock

Common questions

Is this manufacturing software for small business free?

The manufacturing modules (BOM, production plans and orders, job cards, quality checks, job work and costing) are part of Pro at ₹1,499 per year. Every new company can try Pro free for 7 days. Sales invoices, stock in one warehouse, the machines master and ledgers for the current month stay on the Free plan, which is free forever; purchase bills, requisitions, purchase orders, GRN, more godowns and staff users are part of Pro too.

Does VyapRise calculate labour and overhead cost?

Yes, as a standard cost on Pro. On the BOM you enter the batch size, labour cost, machine hours with an hourly rate and an overhead percent. VyapRise adds the overhead on material, labour and machine cost together, gives the cost per unit and the margin at your selling price. Finished goods still enter stock at the material actually used, less the value of scrap and by-products.

Can I track job work or material sent to a subcontractor?

Yes, on Pro. Material goes on a job work challan into the job worker's godown, so it stays in your stock while it is away. You record what comes back as returned, processed or scrap. VyapRise tracks the one-year and three-year return deadlines and prepares the ITC-04 CSV.

Does it plan raw material purchases automatically?

It drafts them. From your open sale orders VyapRise works out what to make and what to buy, and drafts production plans and purchase orders for you to check and approve. A production order also checks its material against stock and shows any shortage before you start.

Is it also billing software for small manufacturers?

Yes. The same system makes GST invoices and, on Pro, quotations, sale orders and delivery challans, with HSN, CGST and SGST or IGST, and a UPI QR on the invoice. Finished goods from production are billed from the same stock.

Can I record rejections and scrap?

Yes. Job cards record good and rejected quantity and scrap weight per shift, and quality checks record checked, passed and rejected units with reasons. Scrap and by-products can go into stock at a value, which comes off the run's cost.

Do I need to install anything on the factory PC?

No. VyapRise runs in a browser on any PC, laptop, tablet or phone. It needs an internet connection; there is no offline or desktop version.
