For bakeries, sweet shops, namkeen and mithai shops

Bakery and Sweet Shop Billing Software with Weighing-Scale Labels

A sweet shop weighs 750 g of kaju katli, sticks the scale's label on the box and bills it while the next customer waits. A bakery takes a birthday cake order with an advance and hands the cake over on Saturday.

  • Scan the scale's label: item and weight on the bill
  • Sweets by the kg, the box or the piece
  • Cake orders with an advance
  • Expiry dates on packed goods

What is Bakery and Sweet Shop Billing Software?

VyapRise is bakery and sweet shop billing software that reads the label your weighing scale prints, so the item and its weight go on the bill with one scan, sells sweets by the kg and the box from one stock, keeps the expiry dates of packed goods and books cake orders with the advance received.

Choose Bakery & sweets when you sign up and the menus and item form are set for your shop. Scale labels on the sales invoice, kg and box units and GST invoices work on Free; the counter POS, sale orders, receipts, batch and expiry dates and MRP labels are part of Pro, free for your first 7 days.

What a bakery or sweet shop needs from billing software

Most of what you sell is weighed, some is made to order, and the packed goods expire. The software has to keep up with a festival-day counter.

  • Weighing-scale labels

Your scale prints an EAN-13 label: a prefix such as 21, the item's PLU number, the weight in grams (or the price), and a check digit. Scan it on the sales invoice or at the POS and the item goes on the bill with that weight, at its rate. The scan works on the invoice on every plan; the POS is Pro.

  • Set once to match your scale

In Settings › Invoice Settings › Weighing scale labels, choose the prefix (21 by default), how many digits name the item (4 to 6) and whether the label carries the weight or the price. Give each weighed item an item code equal to its PLU number on the scale. It stays off until you turn it on.

  • Price labels too

If your scale prints the price instead of the weight, VyapRise bills the quantity that price buys at the item's rate: a ₹450 label on kaju katli at ₹900 a kg bills 0.5 kg. Keep the rate on the scale and in VyapRise the same.

  • Kg, box and piece

Keep a sweet in kg and add BOX = 0.5 KG as another unit, or keep pastries and bread by the piece. A box line takes half a kilo out of stock, and stock stays in kg. Other units work on every plan.

  • Cake orders with an advance

Book a birthday cake on a sale order with the expected delivery date and the flavour and message in the notes. Take the advance as a payment received; when the cake goes out, bill the order and adjust the advance on the invoice, so only the balance is left. Sale orders and receipts are part of Pro.

    Sale orders
  • Expiry dates on packed goods

Namkeen packets, biscuits and chocolates you buy carry a batch, MFG and expiry date entered on the purchase bill. The bill picks the earliest expiry first, and the Expiring Stock report lists what expires in the coming days. Batch and expiry are part of Pro.

  • Labels for your own boxes

Print labels for sweet boxes and packed namkeen with the name, an in-store barcode, MRP and net quantity, and type the MFG and expiry dates for that print run. A4 sheets or 50×25 / 38×25 mm rolls. Pro.

    Barcode labels
  • A fast counter in the festival rush

The Pro POS takes scans, search, cash, UPI and card on one bill, holds a bill while the next customer is served, and prints 80 or 58 mm receipts. Quantities such as 0.750 kg are fine. A wholesale price from a set quantity applies by itself at the POS, for caterers who buy in bulk.

    See the POS
  • GST invoices for every sale

Each item keeps its own HSN and GST rate, so a bill with sweets, namkeen and a cake splits tax line by line. A company's Diwali order gets a proper tax invoice with its GSTIN, your logo and a UPI QR code. Free, 10 invoices a month.

One day at a sweet shop using VyapRise

Simple numbers, real steps, so you can see whether it fits your counter.

Before opening: setting up the scale, once. In Settings › Invoice Settings you turn on Weighing scale labels, keep prefix 21 and 5 item digits, and choose weight. Kaju katli has item code 101 in VyapRise and PLU 101 on the scale; motichoor ladoo has 102.

Morning: the counter. A customer asks for 750 g of kaju katli. The scale prints a label that reads 21, 00101, 00750 and a check digit. The cashier scans it and the bill shows kaju katli, 0.750 kg at ₹900 a kg: ₹675. A packet of rusk is scanned from its own barcode, and the customer pays part by UPI and part in cash.

Noon: a cake order. A customer orders a 2 kg chocolate cake for Saturday with a birthday message. You make a sale order for Saturday, write the flavour and the message in the notes, and take a ₹500 advance by UPI as a payment received.

Afternoon: a caterer. A caterer buys 10 kg of namkeen and 5 kg of sweets for a wedding. You pick him on the invoice with his GSTIN; each line takes its HSN and GST rate from the item. He pays in 15 days, so the invoice gets a due date and shows in his ledger.

Evening: packed goods. The Expiring Stock report shows two cartons of biscuits that expire in 20 days, so they go to the front shelf before newer stock.

Saturday: the cake goes out. You bill the sale order, adjust the ₹500 advance on the invoice, and the customer pays the balance.

  • GST rates on many sweets, namkeen and bakery items changed on 22 September 2025. Keep each item's HSN and rate, and confirm them with your CA.
  • If your price board includes GST, mark the item's rate as GST-inclusive and the tax is worked back on the bill. This works on every plan.
  • With price labels, the quantity is worked out to three decimals, so a line can differ from the label's price by a few paise.

Is VyapRise the right bakery billing software for you?

Before you set it up, the gaps.

A good fit if you

  • Sell sweets, namkeen, cakes or bread by weight and by the piece
  • Have a weighing scale that prints EAN-13 barcode labels
  • Take cake and festival orders with an advance
  • Buy packed goods with expiry dates and want the oldest sold first, see inventory management
  • Want quick counter billing in the festival rush, see the POS

Not a fit yet if you

Need VyapRise to connect to the scale itself: it does not send prices or PLU lists to the scale; it reads the label the scale prints, so the scale must print EAN-13 labels in the prefix, item code, weight or price, check digit layout. Tables and kitchen order tickets (KOT) are a separate Pro module for cafés with seating (restaurant billing); there is no link to online food-delivery apps. Barcodes are read with a USB or Bluetooth scanner, not the phone camera. It runs in the browser and needs internet; there is no offline mode.

Common questions

Can I scan the label my weighing scale prints?

Yes. Turn on Settings › Invoice Settings › Weighing scale labels, set the prefix your scale uses (21 by default), how many digits name the item (4 to 6) and whether the label carries the weight or the price. Give each weighed item an item code equal to its PLU number on the scale. Scanning the label on the sales invoice (every plan) or at the POS (Pro) puts the item on the bill with that weight.

Which weighing scales does it work with?

A scale that prints an EAN-13 label made of a prefix, the item's PLU code, the weight in grams or the price, and a check digit, a layout many retail label scales offer. VyapRise does not connect to the scale or send it prices; you keep the PLU numbers and rates on the scale yourself. Check your scale's label format setting before you start.

Can I take a cake order with an advance?

Yes, on Pro. Book the order on a sale order with the delivery date and the details in the notes, and take the advance as a payment received. When you bill the order, adjust the advance on the invoice, so the customer pays only the balance.

Can I sell sweets by the kg and by the box?

Yes, on every plan. Keep the sweet in kg and add BOX = 0.5 KG, or the box weight you use, as another unit. Choose the unit on each line; stock is always counted in kg.

How much does bakery billing software cost on VyapRise?

The Free plan is free forever: 10 GST invoices a month, 30 items, other units and scale labels on the invoice, for the owner alone.
