Frequently asked questions
Is this purchase order generator free?
Yes! It is 100% free with no sign-up required. You can generate unlimited purchase orders with vendor details, items, prices, and terms.
What should a purchase order include?
A complete purchase order carries a unique PO number and date, your business and vendor details, item descriptions with HSN codes, quantity, rate and taxable value, delivery address and expected delivery date, and the agreed payment terms. Anything the vendor is expected to honour should be written on the PO rather than agreed verbally.
What is the difference between a purchase order and an invoice?
A purchase order is raised by the buyer before the goods arrive — it is a request to supply at an agreed price. An invoice is raised by the seller after supply, demanding payment. The PO is what you check the invoice against: if the rates or quantities do not match, you have written proof of what was agreed.
Is a purchase order legally binding?
A purchase order becomes a binding contract once the vendor accepts it, so it protects both sides if there is a dispute over price, quantity or delivery date. This is why the PO number should be quoted on the vendor's invoice and on the goods receipt note.
How do I track which purchase orders are still pending?
Tracking POs in a spreadsheet breaks down quickly once the volume grows. VyapRise ERP keeps every PO linked to its goods receipt note and purchase bill, so you can see at a glance which orders are pending, partially received or closed. Purchase orders and GRN are part of Pro (₹1,499 per year, unlimited orders), and you can try them free for 7 days.
Guides on this topic
Plain-language explainers: the rules, worked examples and common mistakes.
- Purchase Order: Meaning, Format and PO-to-Payment ProcessA purchase order (PO) is the document a buyer sends a supplier to order goods or services at an agreed price, quantity and delivery date. Once the supplier accepts it, it is a binding contract. It is not a GST document and books nothing in your accounts; the purchase is recorded only when the supplier's bill arrives and is matched against the PO and the goods received.
- How to Write a Quotation: Format, Validity and ExampleA quotation is a seller's written offer to supply goods or services at a stated price, on stated terms, until a stated date. A clear one names both parties, lists each item with HSN code, quantity, rate, discount and the GST that will apply, and states validity, delivery and payment terms. It creates no GST liability; the tax invoice is issued only when the order is supplied.
- GST Invoice Format: Mandatory Fields Under Rule 46A GST tax invoice must carry the particulars listed in CGST Rule 46: the supplier's and (for B2B) the recipient's name, address and GSTIN, a unique consecutive invoice number of up to 16 characters, the date, HSN or SAC codes, description, quantity, taxable value, the tax rate and amount split into CGST, SGST or IGST, the place of supply for inter-state sales, whether reverse charge applies, and a signature.
