What is Hotel Billing Software?

What a hotel or lodge needs from billing software
Rooms that are free or taken, guests with their ID, and a bill that matches the nights. These are the parts VyapRise covers.
Rooms with type and tariff
Add each room with its number, its type, such as Standard, Deluxe or Suite, and its tariff per night. A stay takes its tariff from the room. Rooms & guest stays is part of Pro.
A room chart for any date
Pick a date and the room chart shows each room vacant, booked (arriving) or occupied, with the guest's name and check-out date. Tap a vacant room to book a stay for that day. Pro.
Guest stays with ID
Each stay is numbered (STAY-0001) and has the room, check-in and check-out dates with the nights worked out, the guest's name and mobile, the number of guests, the ID shown (Aadhaar, passport, driving licence, voter ID, PAN or other) and its number. The ID number is stored encrypted and shown only as its last four characters. Pro.
No double booking
The same room cannot be booked for an overlapping night. The check-out day is free, so the next guest can arrive the day the last one leaves. Pro.
Check in, check out, cancel
Check a guest in when they arrive. Check out today ends the stay today, so a guest who leaves early is billed for the nights actually stayed. A booking that does not come can be cancelled. Pro.
A GST bill for the stay
Press Bill and a GST invoice opens with one line for the stay, such as Room 101 (Deluxe), 3 nights, 15-10-2026 to 18-10-2026 and the guest's name, at SAC 996311 with the nights as the quantity. The GST rate is suggested from the tariff and you can change it. A stay can be billed to a company or travel agent instead of the guest. Pro; the invoice itself is Free, 10 a month.
Guest stays register
The register lists every stay with status tabs and a Not billed tab, so no checked-out guest leaves without a bill. Pro.
Housekeeping on the room chart
Each room shows clean, dirty, being cleaned or out of order on the room chart, so the desk knows which vacant room is ready. Checking a guest out leaves the room dirty until housekeeping marks it clean. Pro.
Form C details for foreign guests
For a foreign guest, the stay keeps the Form C details: nationality, passport, visa, dates, arrived from, next destination and purpose, stored encrypted. Print them as a sheet to fill in the Bureau of Immigration's online Form C; VyapRise does not file it for you. Pro.
The restaurant and room service
With Hotel & lodge, Tables & KOT and the POS are switched on too, for your restaurant and counter. A running order can be charged to a checked-in guest's room with Charge to room: the table is freed, and the dishes are added to the stay's invoice at check-out, with any discount given on the order. The stay page lists the room service and its total. Tables & KOT and the POS are part of Pro.
Tables and KOT
A weekend at a lodge using VyapRise
Simple numbers, real steps, so you can see whether it fits your front desk.
Once: setting up. You add your rooms: 101 to 104 Deluxe at ₹2,800 a night, 201 to 206 Standard at ₹950 and one Suite at ₹8,000.
Thursday: a booking by phone. A travel agent books Room 101 for his guest from Friday to Monday. You open the room chart for Friday, tap 101 and book the stay: 3 nights, the guest's name and mobile, 2 guests, and the agent as the customer to bill. The GST rate is suggested at 5% for a ₹2,800 tariff.
Friday afternoon: check-in. The guest arrives and shows his Aadhaar. You enter it as the ID with its number, and the stay shows only the last four characters. You check him in; on the chart 101 is occupied until Monday.
Friday evening: a walk-in. A family asks for a room for one night. The chart shows 101 occupied and 201 vacant, so you book 201 at ₹950, where the suggested GST is 0%. Trying to book 101 for Saturday would be refused, because that night is taken.
Sunday morning: an early departure. The guest in 101 has to leave a day early. You press Check out today: the stay ends Sunday with 2 nights. You press Bill and the invoice has the room line, Room 101 (Deluxe), 2 nights, at ₹2,800: ₹5,600 plus 5% GST of ₹280, ₹5,880 for the room. The two teas at ₹60 each he ordered to his room on Saturday were charged to Room 101 from Tables & KOT, so they are added below the room line on the same invoice. The invoice goes to the agent's ledger with a due date.
Month end: the register. The Not billed tab in the guest stays register lists every stay that has ended without a bill, so nothing booked on credit is missed before the books close.
- VyapRise suggests the GST rate from the tariff: up to ₹1,000 a night 0%, up to ₹7,500 5%, above that 18%. Rules on room tariffs and on a hotel's restaurant can change; confirm your rates with your CA.
- An advance taken on a booking is recorded as an ordinary receipt (Pro); it is not tied to the stay itself.
- For a foreign guest, VyapRise prints the Form C details kept on the stay; you still file Form C on the Bureau of Immigration's site, as today.

There is no online booking engine and no OTA channel manager (Booking.com, MakeMyTrip, Goibibo). Form C details are printed for you to file on the Bureau of Immigration's site; VyapRise does not file them.

Not a fit yet if you
Need an online booking engine or an OTA channel manager that syncs rooms with Booking.com, MakeMyTrip or Goibibo: VyapRise has neither. It does not file Form C (it prints the details for you to file online). An advance is an ordinary receipt, not tied to the booking. It runs in the browser and needs internet; there is no offline mode.
Common questions
Does VyapRise show which rooms are free?
Yes, on Pro. The room chart for any date shows each room vacant, booked (arriving) or occupied, with the guest's name and check-out date. Tap a vacant room to book a stay for that day.
Can the same room be booked twice by mistake?
No. A room cannot be booked for an overlapping night. The check-out day is free, so the next guest can check in the day the last one leaves.
How is the guest's ID kept?
Each stay records the ID shown (Aadhaar, passport, driving licence, voter ID, PAN or other) and its number. The number is stored encrypted and shown only as its last four characters. For a foreign guest, the stay also keeps the Form C details, encrypted, and prints them for you to file on the Bureau of Immigration's site; VyapRise does not file Form C.
What GST rate does a hotel room take?
VyapRise suggests the rate from the tariff per night: up to ₹1,000 0%, up to ₹7,500 5%, above that 18%. You can change it on the stay, and you should confirm your rates with your CA. The invoice line uses SAC 996311.
Does it connect to Booking.com or MakeMyTrip?
No. There is no online booking engine and no channel manager. Bookings from those sites are entered as stays by your front desk.
