What is Barcode Billing Software?

VyapRise reads the barcodes already printed on branded goods, creates in-store EAN-13 codes for the things you pack or make yourself, and prints them with MRP and net quantity on A4 label sheets or on 50×25 and 38×25 mm label rolls.

When a delivery arrives, Print labels on the purchase bill gives you one label for every piece received. Scanning on sales invoices is on the Free plan; scanning on purchase bills, in-store codes and label printing are in Pro, free for your first 7 days.

What the barcode billing software does

Scanning on sales invoices is Free. Scanning on purchase bills, in-store codes, labels and the full-screen POS counter are Pro.

  • In-store barcodes

For loose goods you pack, your own products or anything without a code, VyapRise generates a 13-digit EAN-13 barcode starting with 2, the range reserved for use inside your own shop.

  • Manufacturer barcodes

Branded goods already carry a code. Scan or type it into the item once, in EAN-13, UPC or Code128, and every later scan finds that item.

  • A barcode for the box too

An item can carry more than one barcode. A code printed on the outer box carries that unit, so scanning the carton of 12 bills the box, while scanning a single packet bills one piece.

  • Label sheets and label rolls

Print on ready-cut A4 sticker sheets with 65, 40, 24, 21, 12, 8 or 4 labels a sheet, or a custom size. For a label printer, use the 50×25 or 38×25 mm roll presets through the browser print. Choose how many labels of each item to print.

  • Labels from a purchase bill

Press Print labels on a saved purchase bill and the label screen opens with one label per piece received, with the batch and MRP filled in. Tagging a fresh delivery takes one print.

  • A code for every size and colour

With variants on Pro, each size and colour of a style is its own item with its own barcode and label, so a scan at the counter bills the exact piece.

  • Scan into sales invoices

Connect a USB or Bluetooth barcode scanner and scan items straight into a GST sales invoice. The item comes in with its rate, HSN code and GST rate.

  • Scan into purchase bills

When stock arrives, scan each item into the purchase bill instead of searching for it by name, so the right item gets the stock.

  • Scan at the POS counter

On Pro, the full-screen POS takes scans too, with split payments, held bills, shifts, counter returns and 80 or 58 mm thermal receipts printed from the browser.

How barcode billing works in a shop

Picture a provision store that sells branded goods and also packs its own dry fruit. A 200 ml shampoo bottle from a big brand already has a 13-digit code starting with 890 printed on it. The owner opens the item in VyapRise, puts the cursor in the barcode field and scans the bottle once. From then on, a scan at billing brings up that shampoo at its saved rate of ₹180, with its HSN code and 18% GST.

The store packs almonds into 500 g pouches. These have no barcode, so VyapRise generates an in-store EAN-13 code for the item, beginning with 2. On the Barcode Labels screen the owner picks the 65-labels-a-sheet layout, selects the almond pouch, sets 65 copies and types the print details for this run: MRP ₹450, net quantity 500 g, batch A-12, packing date and best-before date. One A4 sheet comes out of the ordinary office printer, ready to peel and stick. With a label printer, the 38×25 mm roll preset prints the same labels on a roll instead.

At billing, the cashier connects a USB scanner to the shop computer or pairs a Bluetooth scanner. The scanner behaves like a keyboard: it types the code and VyapRise adds the matching item to the bill. Two shampoos and one almond pouch make ₹810 of goods; the invoice works out the GST, adds the UPI QR code for payment and is ready to print or share. Scanning removes the two common counter mistakes, picking the wrong item from a list and typing the wrong rate.

The same scanner works at the back door. When the supplier delivers 48 shampoos, the store keeper scans one into the purchase bill (Pro) and enters the quantity, and the stock goes into the right item and warehouse. For goods that arrive without a code, such as a carton of unbranded steel bottles, the owner presses Print labels on the saved purchase bill and gets one label per bottle received, with the MRP filled in. If the shop moves to the full-screen POS billing counter on Pro, the scanner carries on working there.

On the Barcode Labels screen, batch, MFG and expiry dates are typed for each print run and printed only; the label screen does not save them against the stock. Labels printed from a purchase bill take the batch recorded on that bill. For a step-by-step guide to sheets, printer settings and sticker stock, read barcode label printing for a shop.

In-store codes or GS1 India codes: which barcode do you need?

EAN-13 codes that start with 2 are set aside for restricted circulation: they are meant to be read only inside the business that printed them. They are free, and they are the right choice for goods you pack and sell over your own counter. The catch is that another shop may use the same number for a different product, so a code starting with 2 means nothing outside your store.

If your product will be sold through supermarket chains, modern retail stores or large online marketplaces, those buyers usually ask for a GS1 barcode. In India these are issued by GS1 India, and Indian company prefixes start with 890. A GS1 number is unique to your company worldwide. Registering is a paid membership with GS1 India; check their site for current fees and the documents they need.

VyapRise works with both. Use its in-store codes for your own counter, and once GS1 India allots your 890 numbers, enter each one as the item barcode. It scans and prints on labels like any other code. If you only need a handful of barcode images right now, try the free barcode generator.

Packaged goods sold in India also have to carry certain declarations under the Legal Metrology rules, such as MRP and net quantity. The label sheet can print MRP, net quantity, batch, MFG and expiry, but the full list depends on your product, so confirm it with your packaging adviser before you print a large run.

Is this barcode billing software a good fit?

A good fit if you

  • Run a kirana or general store, hardware shop, stationery or gift shop with a counter computer
  • Pack loose goods and want your own barcodes without buying a code range
  • Have an ordinary inkjet or laser printer with A4 sticker sheets, or a label printer with 50×25 or 38×25 mm rolls
  • Want scanning on GST sales invoices on the Free plan, and on purchase bills too on Pro
  • Want label sheets and in-store codes, or a full POS counter, on Pro

Not a fit yet if you need

A printer-specific driver for your thermal label printer, roll sizes other than 50×25 and 38×25 mm, or scanning with a phone or tablet camera. Roll labels go through the browser print, and VyapRise reads barcodes through a USB or Bluetooth scanner. Batch and expiry typed on the label screen are printed text; batch & expiry dates on stock, serial/IMEI and variants are separate Pro features.

Before you buy a barcode scanner and labels

  • Pick a USB or Bluetooth scanner that works in keyboard mode, which most do out of the box.
  • Check whether it reads EAN-13, UPC and Code128, the formats VyapRise uses.
  • Buy A4 sticker sheets that match one of the layouts (65, 40, 24, 21, 12, 8 or 4 labels), or 50×25 or 38×25 mm rolls for a label printer.
  • Print one test sheet on plain paper and hold it over a sticker sheet before using stickers.
  • Decide which goods get in-store codes and which keep the manufacturer code.
  • If you plan to supply retail chains, apply for GS1 India 890 codes early.
  • Confirm the label declarations your packaged goods need under Legal Metrology rules.
  • Keep the scanner on the purchase side too, so stock goes into the right item.

Common questions

Is the barcode billing software free?

Scanning on sales invoices, with the barcodes already on your products, is on the Free plan, which allows 10 sales invoices a month and up to 30 items. Scanning on purchase bills, in-store barcode generation, label printing and the full-screen POS counter are part of Pro at ₹1,499 per year, and every new company can try Pro free for 7 days.

Which barcode scanner works with this billing software with barcode scanner support?

Any USB or Bluetooth scanner that types the code like a keyboard, which is how most retail scanners work by default. Plug it in or pair it, open a sales invoice or a purchase bill (Pro) and scan. Phone camera scanning is not available.

Can I print barcode labels on a thermal label printer?

Yes, on Pro. Choose the 50×25 or 38×25 mm roll preset and print through the browser to your label printer. There is no printer-specific driver; printing goes through the browser print dialog. A4 sticker sheets with 65, 40, 24, 21, 12, 8 or 4 labels, or a custom size, work on any normal inkjet or laser printer.

What can I print on a barcode label?

The item name, the barcode, MRP and net quantity, plus batch number, MFG date and expiry date. On the label screen, batch, MFG and expiry are typed for each print run and printed only; they are not stored against the stock. Labels printed from a purchase bill take the batch and MRP from that bill.

Can I print labels for a whole delivery at once?

Yes, on Pro. Save the purchase bill and press Print labels. The label screen opens with one label for every piece received, with the batch and MRP filled in, ready for an A4 sheet or a label roll.

Can I sell to supermarket chains with in-store barcodes?

Usually not. In-store codes start with 2 and are meant only for your own counter. Retail chains and large marketplaces generally ask for GS1 barcodes, which in India start with 890 and are issued by GS1 India for a membership fee. Once you have them, save each one on the item in VyapRise and it scans and prints as normal.

Does VyapRise read the barcode already printed on branded products?

Yes. Scan the code into the item once, in EAN-13, UPC or Code128, and from then on scanning the product at billing or on a purchase bill brings up that item.
