Is this GST compliant?
Yes, our quotation generator supports both Intra-State (CGST + SGST) and Inter-State (IGST) supply types with proper GST number, HSN codes, and tax breakdowns.
What is the difference between a quotation and a proforma invoice?
A quotation is an offer of price sent before the buyer commits — it invites the customer to negotiate or accept. A proforma invoice comes after the buyer has agreed in principle and states the exact amount payable, so it is commonly used to arrange advance payment or open a letter of credit. Neither creates a GST liability; only a tax invoice does.
How long should a business quotation stay valid?
Most Indian businesses keep a quotation valid for 15 to 30 days. Always print the validity date on the quote, because material prices and GST rates can change. Once the customer accepts within that window, convert the quotation into a sales order and then a tax invoice.
Download a blank Quotation format
Includes a validity date and the tax breakdown, so the customer sees exactly what the price covers and for how long it stands.

Guides on this topic
Plain-language explainers: the rules, worked examples and common mistakes.
- How to Write a Quotation: Format, Validity and ExampleA quotation is a seller's written offer to supply goods or services at a stated price, on stated terms, until a stated date. A clear one names both parties, lists each item with HSN code, quantity, rate, discount and the GST that will apply, and states validity, delivery and payment terms. It creates no GST liability; the tax invoice is issued only when the order is supplied.
- Proforma Invoice vs Tax Invoice: Meaning, Format and GSTA proforma invoice is a preliminary bill a seller sends before the sale is final — to confirm price and terms, or to ask for an advance. GST law does not recognise it as an invoice: issuing one creates no tax liability, the buyer cannot claim input tax credit on it, and goods cannot move on it. The tax invoice is issued when the supply actually happens.
- Purchase Order: Meaning, Format and PO-to-Payment ProcessA purchase order (PO) is the document a buyer sends a supplier to order goods or services at an agreed price, quantity and delivery date. Once the supplier accepts it, it is a binding contract. It is not a GST document and books nothing in your accounts; the purchase is recorded only when the supplier's bill arrives and is matched against the PO and the goods received.
