For hardware, sanitary and electrical shops
Billing Software for Hardware Shop Owners
A hardware store sells four thousand small things to two kinds of buyer: the walk-in who wants one hinge, and the contractor who wants a quotation today, the material tomorrow and 30 days to pay.
- Thousands of items with HSN, GST rate and barcode
- Quotation to invoice in one click for contractors
- Sq ft and running ft lines, sites per contractor
- Credit customers with ledger, due dates and ageing

What is Hardware Shop Billing Software?
VyapRise is hardware store billing software that keeps every item with its HSN and GST rate, turns quotations into invoices, tracks what each contractor owes on each site, bills plywood and glass by length × width, and shows stock in the shop and the back godown.
Sales billing, stock in one warehouse, ledgers for the current month, square-foot lines and customer sites are on the Free plan; purchase bills, receipts, quotations, more than one godown and barcode labels are in Pro, free for your first 7 days.
What hardware shop billing software has to handle
Hardware is a catalogue business. These nine things decide whether billing software keeps up with it.
A large catalogue with HSN
Every item carries its SKU, barcode, HSN, GST rate, sale price, purchase price, MRP and category. Import the list from a spreadsheet and search by name, SKU or barcode while billing. Up to 30 items on Free; no limit on Pro.
Inventory managementQuotations that become invoices
Make a quotation for a contractor's site list, then print it or download the PDF to send. When the order is confirmed, convert it to an invoice, a sale order or a delivery challan without typing a line again. For a big job, add a payment schedule such as 30% advance, 40% on delivery, 30% on completion; each milestone raises its invoice. Pro.
Length × width lines
Sell plywood, glass or sheets by area (sq ft) and sections or pipe by length (running ft). Type length × width × pieces on the bill line, the quantity is worked out, and the size prints under the item. Works on every plan.
Sites and projects
Add each contractor's sites and pick the site on the invoice and the receipt. Each site shows what was billed, received and is still owed, so one contractor's three buildings never mix. Works on Free invoices; receipts, quotations and challans with a site are Pro.
Credit customers and ageing
Give each contractor a credit period and every invoice gets a due date. Outstanding, invoice-wise ageing and the party ledger show who owes what and for how long. Credit control warns past the limit or overdue days, or needs the owner's approval if you switch that on.
Customer ledgerPurchase bills and GRN
Record the supplier's bill with GST input and stock, or receive goods first with a GRN that notes the godown, batch and a quality status. Pay suppliers against specific bills. Purchase bills, GRN and supplier payments are part of Pro.
Shop and godown stock
Keep stock per warehouse: the shop floor, the back godown, a site store. Transfer between them and see stock by godown, by category or by item. More than one warehouse and transfers are part of Pro; Free has one warehouse.
Challans for site deliveries
Send material to a site on delivery challans as it is needed, then bill several challans on one invoice at month end. Material that comes back unused goes on a return challan. Pro.
Labels for small parts
Screws, anchors and fittings rarely carry a barcode. Generate an in-store EAN-13 code and print A4 label sheets for the bins on Pro, then scan at billing. On the Pro POS, a trade rate applies from a quantity you set.
Barcode billing
A day in a hardware shop using VyapRise
Simple numbers, real steps, so you can judge whether it fits how your shop works.
Morning: a plumber's quotation. A plumbing contractor sends his site list on WhatsApp: 20 lengths of CPVC pipe at ₹420, 50 elbows at ₹18 and 4 taps at ₹650. You open a new quotation, pick him as the customer, and search each item by name. Each line picks up its HSN and GST rate from the item. Subtotal ₹11,900, GST at 18% ₹2,142, total ₹14,042. You download the PDF and send it to him on WhatsApp. Try the free quotation generator if you want to see the format first.
Noon: the order is confirmed. He calls back and wants it delivered tomorrow. You open the quotation and convert it to an invoice. The lines, rates and GST come across as they were; the invoice number comes from your series. You set the invoice to sell from the back godown, where the pipes are, and the stock of the pipes, elbows and taps drops there. Because his credit period is 30 days, the invoice carries a due date 30 days out. You pick his site, Patel Residency, on the invoice, so the site's billed and owed figures update with it.
Contractor rates. Pro has customer price lists for contractors on fixed rates. Without them, for a contractor who gets a better rate, change the rate on the line or give a line discount in percent or rupees. Under the rate box you see the last three rates you gave this customer, with a red Below cost warning if the rate falls under your cost. A bill-level discount and freight with GST can be added at the bottom. If most contractors get the same trade rate, put it in the item's wholesale price and use it as your reference.
Afternoon: walk-in counter sales. A customer buys one door hinge, a packet of screws and a tube of sealant. The screws come from a bin with your own printed barcode label; the scanner adds them. If you run the counter on the POS (Pro), a customer who takes 50 or more anchors gets the trade rate on their own, because you set the wholesale price and the quantity it starts at on the item.
Boxes and pieces. Keep 'Wood screw 1 inch' in pieces and add BOX = 100 PCS as another unit on the item, with its own box price if you sell boxes cheaper. A contractor buys 3 boxes: choose BOX on the line and stock falls by 300 pieces. A walk-in buys 40 loose screws: choose PCS. One item, one stock figure, and nothing to adjust when you open a box. The same works for a coil of wire in metres or a bag of cement in kilos, and a barcode printed on the box can bill the box when scanned. Other units work on every plan.
Sheets by the square foot. Plywood is set up to sell by area at ₹55 a sq ft. A carpenter wants three 8 × 4 ft sheets: you type 8 × 4 × 3 on the line, the quantity becomes 96 sq ft, the line comes to ₹5,280 before GST, and 8 × 4 ft × 3 prints under the item. Aluminium sections sold by running foot work the same way with length only.
Evening: the supplier's truck. Ten boxes of anchors and six cartons of wire arrive. You make a GRN into the back godown and mark quality as passed, then enter the supplier's bill with their invoice number and GST. Stock goes up, the input GST is recorded, and the supplier's payable is in their ledger. Next morning you transfer two boxes from the godown to the shop.
Month end. The contractor pays ₹10,000 against the ₹14,042 invoice. You record the receipt for the Patel Residency site and allocate it to that invoice; ₹4,042 stays outstanding and shows in the outstanding report with its age. Bills from before you started VyapRise can be collected against too, as old invoices on the receipt.
- Most hardware lines, such as fasteners, hand tools, locks, paint and pipe fittings, are taxed at 18%, and cement moved to 18% from 22 September 2025. A few items differ, so confirm each HSN and rate with your CA.
- Every item keeps its own GST rate, so a mixed bill splits tax line by line.

Setting up your hardware store
The item master is the big job. Do it once and billing becomes quick.
- 01
Import your item list
Pick Hardware & Building Material as your business type when you sign up. Export your items from your old software or a spreadsheet as Excel or CSV: name, HSN, GST rate, sale price, purchase price, barcode, category. Map the columns, preview, and import. Rows with errors come back in a file to fix.
- 02
Set up godowns and opening stock
Create a warehouse for the shop and one for each godown. Opening stock entered on an item goes to the default warehouse (the first active one), so keep that one for the shop and add godown stock with a stock-in. Each invoice can then sell from either. More than one warehouse and stock-ins are part of Pro. Set a minimum level for items you never want to run out of.
- 03
Add contractors with credit periods
Import customers or add them as they come, with GSTIN where they have one, the number of days you give them to pay and their sites. Enter their opening balances.
- 04
Print bin labels and start billing
Generate barcodes for the parts that have none, print label sheets, and make your first quotation or invoice.
Is VyapRise the right hardware shop billing software for you?
A good fit if you
- Sell a large catalogue across several GST rates and need HSN on every line
- Quote to contractors and builders and bill them on credit, site by site
- Sell plywood, glass or sections by the square or running foot
- Keep stock in the shop and one or more godowns
- Want sales bills, stock and receivables in one place on the Free plan, and purchase bills, quotations, godowns and labels on Pro
- Have several staff and do not want to pay per user (staff logins are part of Pro). See our hardware shop billing guide
Not a fit yet if you
Need customer price lists, serial/IMEI tracking or variants without Pro: they are part of Pro, not Free. A customer credit limit warns on the invoice, or needs the owner's approval if you switch that on; it does not block the bill outright. It runs in a browser and needs internet; there is no desktop or offline version and no Play Store app.

Common questions
Is there free billing software for a hardware shop?
Yes. The VyapRise Free plan is free forever and covers GST invoices (up to 10 a month), 30 items and 10 customers, length × width lines, customer sites, stock in one warehouse, barcode scanning and customer ledgers for the current month, for the owner alone. Pro, at ₹1,499 per year, removes those limits and adds purchase bills, receipts, quotations, challans, GRN, more godowns, barcode labels, staff users, the POS, GST return reports and full accounting. New companies get 7 days of Pro free.
Can I sell screws by the box and by the piece?
Yes, from one item, on every plan. Keep the item in pieces and add the box as another unit with its factor (for example BOX = 100 PCS) and, if you like, its own box price. On the bill, choose BOX or PCS for each line; stock is always counted in pieces.
Can I bill plywood or glass by the square foot?
Yes, on every plan. Set the item to sell by area (sq ft) or by length (running ft). On the bill line, type length × width × pieces; VyapRise works out the quantity and prints the size under the item, so the customer sees how the square feet were reached.
Can I give contractors a different rate from walk-in customers?
Yes. On the bill, change the rate on the line or give a line discount; the last three rates you gave that customer show under the rate box. Pro adds customer price lists, and on the Pro POS a wholesale price applies on its own once the quantity reaches the level you set on the item.
How many items can hardware store billing software in VyapRise hold?
Pro has no limit on items, customers or users; the Free plan allows 30 items and 10 customers. Large lists are usually imported from an Excel or CSV export of your old software.
What GST rate applies to hardware items?
Most hardware, such as fasteners, hand tools, locks, paint and fittings, is taxed at 18%, and cement is 18% since 22 September 2025. Some items differ. Set the HSN and rate on each item once, after confirming them with your CA.
Can I track how much each contractor owes?
Yes. Each customer has a ledger, a credit period that sets due dates on invoices, and invoice-wise ageing, and each of their sites shows billed, received and owed. On Pro, receipts are allocated against specific invoices; on Free you record the payment on the invoice itself, and the ledger shows the current month. Credit control can warn or ask for the owner's approval past the limit. Reminders show in the app; automatic payment-reminder emails are part of Pro, and nothing goes out by WhatsApp or SMS.
