Auto Parts Billing Software for Spare Parts and Accessories Shops

An auto parts shop sells a brake pad to a mechanic on credit, a battery to a car owner with a warranty card, and a seat cover in the right size and colour to someone who wants it fitted in the next hour.

  • Search by part code, name or barcode
  • Battery and tyre serials with warranty dates
  • Mechanic and garage rates on price lists
  • Fitting jobs with vehicle number and km

What is Auto Parts Billing Software?

VyapRise is auto parts billing software that keeps each part with its part code, brand, rack and barcode, records the serial number of every battery and tyre you buy and sell, gives mechanics and garages their own rates, and turns a fitting job on a vehicle into a GST invoice.

Choose Auto parts & accessories when you sign up and the item form is set for your shop. Brand & rack, other units, repair jobs and GST invoices work on Free; serial numbers with warranty, variants, price lists, quotations, labels and the counter POS are part of Pro, free for your first 7 days.

What an auto parts shop needs from billing software

Thousands of small parts, a few costly numbered pieces, two kinds of buyer and some fitting work. The software has to handle all of it.

  • Part code, brand and rack

Each part carries its part code (SKU), barcode, HSN, GST rate, MRP, brand and the rack it sits on. Import the list from Excel, rack column included, and find a part by name, code or barcode while billing. Brand & rack works on every plan.

  • Scan to bill

Scan the manufacturer's barcode on a filter or bulb box with a USB or Bluetooth scanner and the part lands on the invoice. Parts with no barcode can get your own printed label on Pro.

    Barcode billing
  • Serial numbers on batteries and tyres

Record the serial of each battery, tyre or music system on the purchase bill, pick it on the sale, and it prints under the item on the bill. Search a number later to see which bill it came in on and which invoice it left on. Pro.

  • Warranty from the serial

Set warranty months on the item. Each sold serial gets its warranty-until date on the bill, and the Warranty Expiring report lists pieces whose warranty is about to end. Works with serial numbers, on Pro.

  • Seat covers and mats by size and colour

Create a seat cover once with options such as Car model and Colour, and each combination becomes its own item with its own stock and barcode. Variants are a Pro feature.

  • Mechanic and garage rates

Put garages on a price list and their bills take the list rate on their own (Pro). On any bill you can change the rate, and the last three rates you gave that customer show under the rate box. A wholesale price from a set quantity applies by itself at the POS.

  • Fitting and repair jobs

Open a job for a vehicle with its make and model, vehicle number and odometer km, note the problem, take an advance and set the status. Add the parts and the labour, press Bill this job, and the invoice fills itself. Repair jobs work on Free.

  • Quotations for fleets and garages

A transporter wants a price for 12 tyres? Send a quotation as a PDF and convert it to the invoice when he agrees, without typing the lines again. Quotations are part of Pro.

    What a quotation is
  • Counter billing and low stock

The Pro POS takes scan, search, cash, UPI and card on one bill. Set a minimum level on fast parts, such as oil filters and brake pads, and the Stock Alerts screen lists what is running low.

One day at an auto parts shop

Simple numbers, real steps, so you can see whether it fits how your counter works.

Morning: a mechanic's order. A garage owner calls for 4 brake pad sets, 6 oil filters and 2 litres of coolant. He is on your Garage price list, so the bill takes his rates on their own. You search each part by its code; each line picks up its HSN and 18% GST from the item. He has 30 days to pay, so the invoice gets a due date and shows in his ledger.

Late morning: a battery sale. A car owner needs a 35 Ah battery at ₹5,400. On the invoice you pick the battery and choose its serial number from the ones in stock. The item carries 24 warranty months, so the bill prints the serial and the warranty end date under the battery, and stock now shows one battery less.

Noon: a fitting job. A customer brings his car for a seat cover fitting and a new horn. You open a job with the make and model, the vehicle number and the odometer reading of 48,200 km. You add the seat cover in his car's size and colour, the horn and ₹300 of fitting labour, then press Bill this job: the invoice is filled and the variant's stock drops by one.

Afternoon: walk-ins at the counter. Bulbs, wiper blades and a phone holder. The cashier scans the boxes and takes part of the money by UPI and part in cash on one bill. A parts dealer from the next town buys 20 spark plugs; the wholesale price you set from 20 pieces applies by itself at the POS.

Evening: the distributor's delivery. Ten batteries and eight tyres arrive. On the purchase bill you scan each battery's and tyre's serial into its line; a line will not save with fewer numbers than pieces. Stock goes up, input GST is recorded, and the distributor's payable is in his ledger.

Two months later: a warranty claim. The battery customer comes back. You type the serial into Serial Numbers: sold on your invoice in October, bought on the distributor's bill two days earlier, warranty valid. You have the dates for the company's claim without searching through files.

  • Each item keeps its own HSN and GST rate, so a bill with parts, oil and labour splits tax line by line. Rates for many auto parts changed on 22 September 2025; confirm each HSN and rate with your CA.
  • Oil sold by the can and the litre? Keep the item in litres and add CAN = 5 LTR as another unit; stock stays in litres. Other units work on every plan.

Is VyapRise the right auto parts billing software for you?

Before you set it up, the gaps.

A good fit if you

  • Sell spare parts, accessories, tyres or batteries over the counter and to garages
  • Want each battery and tyre traced by serial number, with its warranty date on the bill
  • Fit accessories or do small repairs and want the job to become the invoice
  • Give mechanics and fleets their own rates and some of them credit, tracked in the customer ledger
  • Want stock, purchases and GST in one place, see inventory management

Not a fit yet if you

Need a vehicle-to-part fitment catalogue (which part fits which model): there is none; you search by name, code or barcode. The item import does not read serial numbers, so serials of the stock you already hold are typed on a purchase bill or stock entry. There is no phone camera scanning, no native Android app and no offline mode; VyapRise runs in the browser and needs internet.

Common questions

Is there billing software for an auto parts shop with GST?

Yes. VyapRise makes GST invoices with HSN and the GST rate on each line, a UPI QR code and four print layouts. The Free plan covers 10 invoices a month, 30 items, 10 customers and repair jobs for the owner alone; Pro, at ₹1,499 per year, adds serial numbers, variants, price lists, quotations, labels, the POS and staff users with no per-user charge.

Can I track serial numbers and warranty of batteries and tyres?

Yes, on Pro. Record the serial of each piece on the purchase bill and pick it on the sale; the serial and the warranty end date print on the customer's bill. The Serial Numbers register shows where any number came from and which invoice it left on, and the Warranty Expiring report lists pieces near the end of their warranty.

Can I search spare parts by part number?

Yes. Keep the part number as the item's SKU and search by it, by name or by barcode while billing. Brand and rack sit on the item too, so staff know where it is kept.

Can I give mechanics a different rate from retail customers?

Yes. Pro has customer price lists, so a garage's bills take its own rates. On any plan you can change the rate on a line, and the last three rates you gave that customer show under the rate box. At the Pro POS, a wholesale price applies on its own from the quantity you set.

Can I bill a fitting or repair job on a vehicle?

Yes, on every plan. Open a job with the vehicle's make and model, number and odometer km, the problem, an advance and the status. When the work is done, add the parts and the labour and press Bill this job to fill the invoice.

Does it work on a phone?

Yes, in the phone's browser at app.vyaprise.com, and you can add it to your home screen. It needs internet; there is no offline mode and no Play Store app. Barcodes are scanned with a USB or Bluetooth scanner, not the phone camera.
