For electrical shops: wires, switches, fans and lights

Electrical Shop Billing Software for Wires, Switches, Fans and Lights

An electrical shop sells a 90 m coil to a contractor and 7 metres of the same wire to a walk-in, a fan with a warranty card, and a bag of switches and boxes for a house that an electrician will wire next week.

  • Wire by coil or metre, one stock
  • Fan and inverter serials with warranty
  • Electrician rates and site quotations
  • Brand, rack and barcode on every item
The VyapRise till at a demo electrical shop: a ceiling fan with its serial number picked, 8 metres of PVC wire sold by the metre, LED bulbs, modular switches, an MCB and sockets, beside photo tiles for wires, fans, lights and switchgear.

What is Electrical Shop Billing Software?

VyapRise is electrical shop billing software that keeps wire in one stock whether you sell it by coil or by metre, records the serial of each fan, inverter and stabiliser, gives electricians their own rates, and turns a quotation for a site into an invoice.

Choose Electrical shop when you sign up and the item form is set for your trade. Other units, brand & rack, customer sites and GST invoices work on Free; serial numbers with warranty, price lists, quotations, labels and the counter POS are part of Pro, free for your first 7 days.

What electrical shop billing software has to handle

Loose wire, boxed goods with serial numbers, contractors on credit and a busy counter. These are the parts that matter.

  • Wire by coil or by metre

Keep the wire in metres and add COIL = 90 MTR as another unit on the item, with its own coil price if you like. Sell a coil or 7 metres from the same stock; stock is always counted in metres. Works on every plan.

  • Brand and rack on each item

Switches, MCBs and lights come in many brands. Each item keeps its brand, the rack it sits on, its HSN, GST rate, MRP and barcode, and the whole list imports from Excel. Brand & rack works on Free.

  • Serials on fans and inverters

Record the serial of each fan, inverter, stabiliser or geyser on the purchase bill and pick it when you sell. It prints under the item on the customer's bill, and the Serial Numbers register shows where it came from and where it went. Pro.

  • Warranty dates without a register

Set warranty months on the item, and each sold serial gets its warranty-until date on the bill. The Warranty Expiring report lists what is near the end. Works with serials, on Pro.

  • Electrician and contractor rates

Put electricians on a price list and their bills take the list rate by themselves (Pro). On any bill you can edit the rate or give a line discount, with the last three rates for that customer shown under the rate box.

  • Quotations for a house or site

Make a quotation for a contractor's material list, send the PDF, and convert it to the invoice, a sale order or a delivery challan when he confirms. Quotations are part of Pro.

  • Contractor sites and credit

Add a contractor's sites and pick the site on the invoice, so each building shows what was billed, paid and still owed. A credit limit warns on the bill, or needs the owner's approval if you switch that on. Works on Free.

  • Scan boxed goods

Most switches, bulbs and MCBs carry a barcode: scan it with a USB or Bluetooth scanner on the invoice. Loose items such as connectors can get your own printed labels on Pro.

  • A quick counter

The Pro POS takes scan or search, split payment by cash, UPI and card, and a wholesale price that applies from the quantity you set, such as 10 switches or more.

A day at an electrical shop using VyapRise

Simple numbers, so you can follow each step.

Morning: an electrician's list. An electrician sends the material for a 2BHK on WhatsApp: 4 coils of 1.5 sq mm wire, 2 coils of 2.5 sq mm, 30 modular switches, 12 sockets and 6 MCBs. You make a quotation, pick him as the customer, and his Electrician price list fills his rates. Each line takes its HSN and GST from the item. You send the PDF.

Noon: the order is confirmed. He calls back. You convert the quotation to an invoice and pick his site, Shah Bungalow. Because he has 30 days to pay, the invoice carries a due date, and the site shows billed and owed separately from his other jobs.

Afternoon: a walk-in wants 7 metres. On the bill you choose the 1.5 sq mm wire, pick MTR as the unit and type 7. Stock falls by 7 metres. The next customer takes a full coil: choose COIL and stock falls by 90 metres. One item, one stock figure.

A fan with a warranty. A customer buys a ceiling fan at ₹2,650. You pick its serial from the ones in stock; the bill prints the serial and the warranty end date under the fan, because the item carries 24 warranty months.

Evening: the distributor's delivery. Wire coils, 20 fans and 5 inverters arrive. On the purchase bill you scan the fan and inverter serials into their lines. Stock goes up, the input GST is recorded, and the fans are ready to pick by serial.

Month end. The electrician pays ₹15,000 against the Shah Bungalow invoice. You record it against that invoice, and the rest stays in the outstanding report with its age.

  • Most electrical goods, such as wires, switches, fans and lights, are taxed at 18%; a few items differ. Confirm each HSN and rate with your CA.
  • Every item keeps its own rate, so a mixed bill splits tax line by line.

Is VyapRise right for your electrical shop?

The honest version.

A good fit if you

  • Sell wire both by the coil and by the metre and want one stock figure
  • Sell fans, inverters or stabilisers and want serials and warranty dates on the bill
  • Quote to electricians and contractors and bill them on credit, site by site
  • Want brands, racks and barcodes on a large catalogue, see inventory management
  • Have staff at the counter and do not want to pay per user (staff logins are part of Pro)

Not a fit yet if you

Need cut-length tracking of each coil (how much is left on coil number 3): stock is kept as total metres per item. Serial numbers of stock you already hold are typed on a purchase bill or stock entry, not imported. There is no phone camera scanning, no Play Store app and no offline mode; it runs in the browser and needs internet.

Common questions

Can I sell wire by the coil and by the metre?

Yes, on every plan. Keep the wire in metres and add the coil as another unit with its factor, such as COIL = 90 MTR, and its own price if you like. On the bill choose COIL or MTR; stock is always counted in metres.

Can I record serial numbers of fans and inverters?

Yes, on Pro. Each piece's serial is recorded on the purchase bill and picked on the sale, and it prints on the customer's bill with the warranty end date when the item has warranty months. The Serial Numbers register shows where any number came in and went out.

Can electricians get a different rate?

Yes. Pro has customer price lists, so an electrician's bills take his rates by themselves. On any plan you can change the rate on a line and see the last three rates you gave that customer. At the Pro POS, a wholesale price applies from a quantity you set.

Is there a free plan for a small electrical shop?

Yes. The Free plan is free forever with 10 GST invoices a month, 30 items and 10 customers, other units, brand & rack and customer sites, for the owner alone. Pro, at ₹1,499 per year, removes the limits and adds purchase bills, serials, quotations, price lists, labels, the POS and staff users. New companies get 7 days of Pro free.

What GST rate applies to electrical goods?

Most electrical goods, such as wires, switches, fans and lights, are taxed at 18%, but some items differ. Set the HSN and rate on each item once, after confirming them with your CA; VyapRise then splits CGST and SGST, or IGST, on every bill.
