1. Introduction

Welcome to VyapRise ERP. We value your privacy and are committed to protecting your personal and business data. This Privacy Policy explains how we collect, use, and safeguard your information when you use our GST billing and ERP services.

2. Information We Collect

When you use VyapRise, we may collect the following types of information:

• Business Information: Business name, GST number, address, and contact details.
• User Data: Name, email address, and phone number provided during registration.
• Financial Data: Invoices, purchase orders, and inventory data processed through our platform.
• Technical Data: IP address, browser type, and usage patterns to improve our services.
• Payment Records: if you buy the Pro plan, the payment references described in section 5. Card, UPI and bank details are handled by Razorpay, not by us.

3. How We Use Your Information

We use the collected data to provide, maintain, and improve our ERP services, process your transactions, comply with legal requirements (such as GST regulations), and communicate important updates with you.

We may contact you about your account, plan, and offers related to VyapRise. You can opt out at any time using the unsubscribe link in the email, by replying STOP, or by emailing [email protected].

4. Data Security

Your data travels between your browser and our servers over HTTPS (TLS). Bank account numbers and GST API credentials are stored encrypted. Each company's data is kept separate from every other company's, and only the users the account owner invites can see it — each of them only what their role allows. The account owner can download a full backup of the company's data (as a JSON file).

5. Payments

Payments for the Pro plan are processed by Razorpay. You enter your payment details on Razorpay's checkout, not on VyapRise. VyapRise does not see or store your card number, UPI PIN or bank login credentials. Razorpay's own privacy policy and terms apply to the payment data it processes.

For each payment, VyapRise stores only:

• the Razorpay order ID and payment ID;
• the amount, currency and payment status;
• the relevant dates and the plan period paid for;
• which user of the company started the payment.

We use these records to activate and renew Pro, to produce the payment receipt you can download in the app, to answer payment queries, and for our tax and accounting records.

Retention: payment records are kept for tax and accounting purposes even if a company account is closed. The company's plan state itself (its trial, Free or Pro status) is deleted when the account is closed.

6. AI Apps You Connect

You can connect an AI app, such as Claude or ChatGPT, to your VyapRise account. It works only after you sign in and press Allow, and only with what your role allows in your company.

• When you send a bill photo to your AI app, the app reads it on its provider's servers, under that provider's privacy policy and terms. VyapRise does not receive the photo. It receives only the bill details the app sends (supplier, items, quantities, rates and GST), and sends back the matching supplier and item names from your records.
• Nothing is saved in your books until you confirm in the chat. A bill saved this way records which app added it.
• We keep a record of which apps you connected and when. We never send your data to an app you have not connected, and we don't sell your data or share it for advertising.
• You can disconnect an app at any time from Settings › AI Assistants in VyapRise. Access also ends when you change your password or sign out everywhere.

7. Analytics and Service Providers

Google Analytics on this website: this website (vyaprise.com) uses Google Analytics to understand how visitors use it. Google Analytics sets cookies and records the pages you visit, your browser and device, and your approximate location worked out from your IP address. We also record a few actions: when a free tool on this website creates, downloads or shares a document (only the type of document, not what you type into it), and when a sign-up button is clicked. Google processes this data under its own privacy policy. You can block it with your browser's cookie settings or with Google's Analytics opt-out browser add-on.

To deliver some features, we pass only the data needed for that task to these service providers:

• Email: emails from VyapRise (such as sign-in codes, invoices you email to customers, and account notices) are delivered through ZeptoMail; some account and announcement emails are sent from our Hostinger mailbox.
• WhatsApp: messages VyapRise sends on WhatsApp from its own number (such as sign-in codes and invoices sent with Send on WhatsApp) go through Meta's WhatsApp Cloud API.
• Payments: Pro plan payments are processed by Razorpay, as described in section 5.
