How Distributors Track Stock Across Godowns Without Excel
Multi-godown stock management for distributors: set up godowns, receive goods with a GRN, transfer stock, count it and value it at weighted average.
In short
To track stock across godowns without Excel, give each godown its own stock in your software, receive every delivery into the godown where it is unloaded, record every movement between godowns as a stock transfer, and count each godown on a fixed schedule, posting the difference as an adjustment. The godown-wise stock report then shows what is where, and weighted-average cost gives its value.
- Every unit of stock should belong to exactly one godown at any moment; a movement between godowns is a transfer, not a sale and a purchase.
- Receive goods into the godown where the truck is unloaded, using a GRN, so the godown's stock is right from the first day.
- Count one section of a godown every week rather than everything once a year, and post the difference as a stock adjustment with a reason.
- Weighted-average cost values every unit of an item at the same average purchase cost, recalculated each time new stock arrives.
Why Excel breaks at the second godown
With one godown, a stock sheet in Excel works for a while. The trouble starts when you add a second godown, a third salesman, or a warehouse across town.
- Two people edit the same sheet and one overwrites the other.
- Goods move from Godown 2 to the shop, but nobody updates either column.
- The sheet says 40 cartons; the loader finds 32; nobody knows when they went.
- At year-end, stock value is a guess.
Multi-godown stock management needs three things Excel cannot give you: every movement recorded once, at the time it happens, by the person who did it.
Step 1: Set up each godown
List every place stock sits, including the back room of the shop and the van if it carries stock overnight. Give each one a short, clear name:
| Godown | Purpose |
|---|---|
| Main – Shop | Counter and dispatch |
| G2 – Naroda | Bulk storage |
| G3 – Cold room | Temperature-sensitive goods |
| Damaged | Goods awaiting return or write-off |
A separate “Damaged” godown is worth having. It keeps broken stock out of the saleable count without losing track of it.
Then enter opening stock per godown, counted on the same day. Do not split a total across godowns by estimate; count each one.
Step 2: Receive goods into the right godown
When a supplier’s truck is unloaded at G2, the stock is in G2, not in the shop. Record it there.
A goods receipt note (GRN) is the document for this. It records what arrived, against which purchase order or bill, into which godown, and in what condition. A good GRN process:
- Count and check goods against the supplier’s invoice before signing.
- Note shortages and damage on the GRN, not on a scrap of paper.
- Mark quality status if you check samples: pending, passed or failed.
- Record a batch number where the supplier gives one.
In VyapRise (GRN is part of Pro), a GRN can be made against a purchase bill or a purchase order, into the warehouse you choose, with a batch number and a QC status. A purchase bill linked to a GRN does not add the same stock a second time. A purchase bill (also part of Pro) entered on its own, without a GRN, puts its stock into the warehouse picked on the bill, or the main warehouse if you leave that field empty.
Step 3: Record every transfer
When 50 cartons go from G2 to the shop, it is one entry: from G2, to Main, 50 cartons, today. G2 goes down by 50, Main goes up by 50, and the company total does not change.
Two habits make transfers reliable:
- The person who loads the goods records the transfer before the vehicle leaves, from a phone if needed.
- The receiving godown checks the count and reports any difference the same day.
Moving goods between your own godowns in the same state, under one GSTIN, is not a sale. Depending on value and distance, the goods may still need a delivery challan or an e-way bill on the road. Confirm the rule for your state with your CA.
Step 4: Sell from the right place
Decide which godown each sale leaves from. In VyapRise, with two or more godowns (Pro), a sales invoice has Sell from godown: pick the godown and each line shows the stock there, so the counter can bill goods that sit in the back godown without moving them first. The last godown used is picked for the next bill. Each POS terminal (on the Pro plan) has its own warehouse.
On the Pro plan, a sale return (credit note) can be restocked into a warehouse you choose, so damaged returns can go straight into the “Damaged” godown.
Step 5: Read the godown-wise stock report
The report you will open most is the godown-wise stock report:
| Item | Main – Shop | G2 – Naroda | Damaged | Total |
|---|---|---|---|---|
| Detergent 1 kg (carton of 12) | 18 | 140 | 2 | 160 |
| Tea 250 g (carton of 40) | 6 | 75 | 0 | 81 |
| Biscuits family pack (carton of 24) | 0 | 52 | 1 | 53 |
Read it the way a distributor thinks. Biscuits show 52 cartons in stock, but zero at the shop — the salesman will promise delivery from stock that is across town. A transfer today fixes tomorrow’s orders.
VyapRise’s stock reports include warehouse stock, stock summary, stock ledger, stock movement, stock by category and low stock. Set a minimum stock level on each item so low-stock alerts appear in the app.
Step 6: Count, then adjust
A physical count is the only check that the system matches the shelf.
Cycle counting works better than one big annual count:
- Split each godown into sections: racks, rows, or product groups.
- Count one section each week, fast movers more often.
- Count without looking at the system figure, then compare.
- Investigate any difference above a small tolerance before you adjust.
- Post the difference as a stock adjustment with a reason: breakage, expiry, counting error, theft.
Over a quarter, the reasons tell you where stock is leaking. If “breakage” keeps appearing in G2, look at how that godown stacks cartons.
How stock is valued: weighted average
Quantity tells you what you have. Value tells you what it is worth, for your balance sheet and for your bank if you have a stock-linked limit.
Under weighted-average cost, each new purchase is blended into the average cost of what you already hold.
| Date | Event | Qty | Cost per unit (₹) | Stock qty | Stock value (₹) | Average (₹) |
|---|---|---|---|---|---|---|
| 1 Oct | Opening | 100 | 500 | 100 | 50,000 | 500 |
| 5 Oct | Purchase | 200 | 530 | 300 | 1,56,000 | 520 |
| 9 Oct | Sale | −120 | 520 | 180 | 93,600 | 520 |
| 12 Oct | Purchase | 120 | 545 | 300 | 1,59,000 | 530 |
The sale on 9 October is costed at the average of ₹520, so the cost of goods sold is 120 × ₹520 = ₹62,400. The purchase on 12 October lifts the average to ₹1,59,000 ÷ 300 = ₹530.
A transfer between godowns changes where stock is, not what it cost. VyapRise values stock at weighted-average cost, so the stock value in reports follows this method without any manual calculation.
Batch numbers across godowns
Some distributors need to know which batch sits in which godown, for recalls or for first-in, first-out dispatch. In VyapRise, a batch number can be recorded as text on stock in and out, transfers, GRNs and production entries, and batch & expiry dates are part of the Pro plan. With batches on, a sale picks the earliest expiry first, the Expiring Stock report lists batches running out, and the Pro daily summary email lists stock expiring within 30 days. There are no SMS or WhatsApp expiry alerts. If batch-wise selling is central to your business, such as for pharmaceuticals, try it with your own items during the trial before you decide.
Common godown problems and their fixes
| Problem | Usual cause | Fix |
|---|---|---|
| System shows stock, shelf is empty | Transfer not recorded, or sold from the wrong godown | Record transfers before the vehicle leaves; check the stock movement report for the item |
| Shelf has stock, system shows zero | Delivery unloaded without a GRN | Make the GRN part of signing the supplier’s challan |
| Same item counted twice | Bill entered and GRN made separately, unlinked | Link the purchase bill to its GRN |
| Value jumps without purchases | Opening stock entered at the wrong cost | Correct the item’s cost and re-check the stock summary |
| Damaged goods sold by mistake | Kept in the saleable godown | Move them to a “Damaged” godown on the day they are found |
Barcodes cut mistakes sharply. Scanning items on the sales invoice, the purchase bill or at the counter is faster and more accurate than reading item names; see our guide to barcode label printing.
A weekly routine that keeps it clean
| Day | Task | Who |
|---|---|---|
| Daily | GRN for every delivery; transfer for every move | Store keeper |
| Daily | Check low-stock alerts before taking orders | Sales |
| Weekly | Cycle count one section per godown | Store keeper |
| Weekly | Review adjustments and their reasons | Owner |
| Monthly | Compare stock value with last month | Owner or accountant |
Give each person their own login with the right role. In VyapRise, staff logins are part of Pro, which has no per-user charge, and roles such as Store Keeper keep each person to the screens they need. The Free plan is for the owner alone, with one warehouse.
Next steps
If you also need a printable format for manual counts, the stock register format gives you one. To see godowns, transfers and GRNs in software, look at inventory management software or the page on billing software for distributors.
How VyapRise handles this
Warehouses on Pro
The Free plan keeps stock in one warehouse. Pro (and the free trial) lets you create as many warehouses as you have godowns, keep opening stock, and see the warehouse stock report alongside stock summary and stock ledger.
GRN into the right godown
On Pro, receive goods against a bill or purchase order into a chosen warehouse, with a batch number and a QC status of pending, passed or failed.
Transfers and adjustments
Move stock between warehouses in one entry (Pro, with a second warehouse), and post stock-in, stock-out and adjustments, or a count sheet per godown that posts the differences (also Pro).
Frequently asked questions
What is a godown-wise stock report?
A report that shows the quantity of each item in each godown, and the total across all godowns. It answers "where is it?" as well as "how much do we have?", which a single total cannot.
Should a stock transfer between my own godowns be a sale?
No. Within the same GSTIN and the same state, moving goods between your own godowns is not a sale. Record it as a stock transfer. If goods move by road, check whether an e-way bill or delivery challan is required for the value and distance, and confirm the rule for your state with your CA.
How often should a distributor count stock?
Count fast-moving and high-value items every week or two, and the rest at least monthly, one section at a time. A full count once a year finds differences too late to trace them.
What is weighted-average stock valuation?
Each time new stock arrives, the cost of what you hold and the cost of what arrived are added and divided by the total quantity. Every unit is then valued at that average until the next purchase.
Can VyapRise pick a different godown on each sales invoice?
Yes, since October 2026. With two or more godowns (Pro), a sales invoice has Sell from godown: the goods leave the godown you pick, each line shows its stock there, and you are warned when a line asks for more than it holds. The last godown you used is picked for the next bill. Each POS terminal takes stock from its own warehouse.
Does VyapRise send low-stock alerts by SMS?
No. Low-stock alerts appear inside the app on the Stock Alerts screen, the low-stock report and the notification bell, and low stock is also listed in the owner's daily summary email. There are no SMS or WhatsApp alerts.
